POS & Retail Integration

QuickBooks + POS Integration

Connect your point of sale to QuickBooks so each day's takings post themselves — sales, tax, tips, discounts, and card fees split correctly, with the deposit matching what actually hit the bank.

What Does This Integration Do?

A till is a firehose of small transactions. Nobody wants a QuickBooks file with ten thousand individual coffee sales in it, but nobody wants a single lump number either — finance still needs tax, tips, discounts, card fees, and cash separated correctly.

This integration posts a daily sales summary from your POS into QuickBooks: revenue split by category or item, sales tax to the liability account, tips to their own account, discounts and comps recorded, card fees expensed, and the net deposit posted so it clears against the bank feed. Multi-location businesses get one summary per site.

What Syncs, and Which Way

Most POS + QuickBooks projects post a daily summary rather than individual sales. The split below is what that summary contains.

Daily Sales Summary

POS → QuickBooks

Revenue split by category, department, or item group

Sales Tax

POS → QuickBooks

Collected tax posted to the liability account, split by rate where needed

Tips & Gratuities

POS → QuickBooks

Tips separated from revenue into their own account for payout

Deposits & Fees

POS → QuickBooks

Card settlements net of processing fees, cash takings separated

Discounts & Comps

POS → QuickBooks

Promotions and staff comps recorded so gross revenue stays honest

Items & COGS

Both directions

Item-level revenue and cost of goods, where the POS tracks it

How We Build It

Every POS platform exposes its data differently. We build against your provider's actual API and match the posting pattern to your volume.

ApproachWhat it isBest forWatch out for
POS provider APISquare, Shopify POS, Lightspeed, or another platform's REST APIPulling daily totals, item sales, tips, and settlement dataReport timing differs by provider; day-close cutoffs matter
QuickBooks Online REST APICloud REST API secured with OAuth 2.0Posting daily sales receipts or journal entries in QBORate limits; production app review before go-live
Web Connector (Desktop / QBXML)Intuit tool that exchanges QBXML with the local company fileRetailers running QuickBooks Desktop in the back officePolling schedule only; runs on the host machine
iPaaS connectorsPre-built templates on Zapier, Make, or vendor appsSingle-location shops with a simple account structureMulti-location and tip handling usually need custom logic

Where these projects actually go wrong: not the connection, but the day-close. Late-night trading that crosses midnight, cash variances, voids and comps, and tips that must not count as revenue are what break a POS sync — so we map those cases explicitly before building.

How Much Does It Cost?

A QuickBooks + POS integration typically costs between $2,500 and $12,000 to implement, depending on location count and how detailed the daily split needs to be.

ApproachImplementationOngoing
Single location, daily summary$2,500 – $5,000$50 – $300/month if an iPaaS is used
Full split with tips, fees & deposit matching$5,000 – $8,500Platform subscription plus support retainer
Multi-location or QuickBooks Desktop build$8,000 – $12,000+Support retainer only, no platform fee

The number moves most on how many locations you run, how detailed the revenue split needs to be (category, department, item), and whether tips, comps, and cash variances are in scope. We quote a fixed price after a scoping call, so you know the cost before we write a line of code.

How Long Does It Take?

Agreeing the daily journal structure with your bookkeeper takes longer than the build — which is why we settle the account mapping before writing anything.

2–3 weeks

Single location

Daily summary with tax, tips, fees, and deposit into QuickBooks Online.

4–6 weeks

Multi-location or Desktop

One summary per site, class or location tracking, Web Connector setup.

What Does Our Integration Process Look Like?

Every engagement follows the same five stages — you get a fixed-price scope and a mapping sheet you sign off before we build.

1

Discover

We review your POS platform, locations, trading hours, and chart of accounts.

2

Map

We document the daily journal structure, account splits, and error rules before building.

3

Build

We implement against a QuickBooks sandbox or test file and your POS test account.

4

Test

We run real trading days — voids, comps, cash variances, and late-night closes.

5

Support

We monitor after go-live, with alerting, logging, and a named contact.

Frequently Asked Questions

Square, Shopify POS, and Lightspeed most often, plus any other platform that exposes an API or scheduled export. We build to your provider's published spec rather than a fixed list.

Almost never. A daily summary keeps the QuickBooks file usable while still separating tax, tips, discounts, fees, and payment types. Individual posting only makes sense for low-volume, high-value sales.

Tips are posted to their own liability or clearing account rather than counted as revenue, so payroll can pay them out and your income figures stay accurate.

Yes. Card takings settle net of processing fees; we post the deposit with fees expensed separately so it clears against the bank feed without manual matching.

Most projects run $2,500 to $12,000 depending on location count, split detail, and edition. See the cost table above for a full breakdown.

Yes. Each location posts its own daily summary, tagged with a QuickBooks class or location so you can report per site and consolidated at the same time.

Ready to Connect POS to QuickBooks?

Every day's takings typed in by hand is an hour lost and a reconciliation waiting to go wrong. A scoped integration removes that work permanently — and you'll know the exact cost before we start.
