Accounting Integration

WooCommerce + QuickBooks Integration

Connect WooCommerce to QuickBooks so store orders, refunds, and gateway deposits post themselves — built by a team that develops WooCommerce stores, not just the accounting half.

What Does This Integration Do?

WooCommerce gives you full control of the store, which also means the accounting side is entirely yours to wire up. Orders sit in WordPress, gateway deposits land in the bank as net figures, and someone reconciles the difference by hand at month-end.

This integration posts WooCommerce orders into QuickBooks as invoices or sales receipts with tax, shipping, and coupon lines mapped to the right accounts, creates credit memos for refunds, and reconciles gateway payouts — Stripe, PayPal, or WooPayments — against the orders and fees inside them.

Two things shape the build. Your QuickBooks edition decides the transport: Online has a cloud REST API, Desktop is reached through the Web Connector on a polling schedule. And your order volume decides whether every order posts individually or the day rolls up into a summary, which keeps the company file usable at scale.

What Syncs, and Which Way

Most WooCommerce + QuickBooks projects cover the same ground. Extension-heavy stores (subscriptions, bookings, multi-vendor) add mapping work we scope up front.

Orders

WooCommerce → QuickBooks

Invoices or sales receipts with tax, shipping, and coupon lines mapped

Customers

WooCommerce → QuickBooks

Buyers matched to existing customers or created without duplicates

Products & Items

Both directions

SKUs matched to QuickBooks items so revenue reports by product

Refunds

WooCommerce → QuickBooks

Full and partial refunds posted against the original sale

Gateway Deposits

Gateway → QuickBooks

Stripe, PayPal, or WooPayments payouts reconciled net of fees

Subscriptions

WooCommerce → QuickBooks

Recurring orders posted as scheduled invoices, where Subscriptions is used

How We Build It

WooCommerce exposes a REST API and webhooks, and being self-hosted it can also run custom server-side logic — which is often the cleanest option.

ApproachWhat it isBest forWatch out for
WooCommerce REST API & webhooksAuthenticated REST access plus order and refund eventsPosting sales as they happen, reading order detailWebhook reliability depends on your hosting and caching setup
Custom WordPress plugin hookServer-side logic running inside WordPress on order eventsComplex stores where the data needs shaping before it leavesLives in the WordPress codebase and must survive updates
QuickBooks Online REST APICloud REST API secured with OAuth 2.0Modern builds on QBO, near real-time postingRate limits; production app review before go-live
Web Connector (Desktop / QBXML)Intuit tool that exchanges QBXML with the local company fileQuickBooks Desktop stores that can't be reached from the cloudPolling schedule only; runs on the host machine

Worth knowing: we build WordPress and WooCommerce stores as well as integrations, so when the cleanest fix is on the store side — a hook, a data change, a plugin conflict — we can make it there instead of working around it in middleware.

How Much Does It Cost?

A WooCommerce + QuickBooks integration typically costs between $2,000 and $10,000 to implement, depending on edition, extension complexity, and whether payout reconciliation is included.

ApproachImplementationOngoing
Orders and customers into QuickBooks Online$2,000 – $4,500$50 – $300/month if an iPaaS is used
Full flow with refunds, fees & deposit matching$4,500 – $8,000Platform subscription plus support retainer
QuickBooks Desktop, subscriptions or multi-store$7,000 – $10,000+Support retainer only, no platform fee

The number moves most on whether you're on QuickBooks Online or Desktop, how many WooCommerce extensions shape the order data (subscriptions, bookings, multi-vendor), and whether gateway payout reconciliation is in scope. We quote a fixed price after a scoping call.

How Long Does It Take?

Plugin sprawl is the usual surprise — tax, shipping, and discount plugins each change the order payload, so we audit the live data before mapping anything.

2–3 weeks

Standard WooCommerce store

Orders, customers, and refunds posting to QuickBooks Online.

4–5 weeks

Desktop or extension-heavy store

Web Connector setup, subscriptions, payout matching, multiple gateways.

What Does Our Integration Process Look Like?

Every engagement follows the same five stages — you get a fixed-price scope and a mapping sheet you sign off before we build.

1

Discover

We audit your store, active extensions, tax setup, and QuickBooks chart of accounts.

2

Map

We document every field, account, direction, and error rule before building.

3

Build

We implement against a staging copy of your site and a QuickBooks sandbox or test file.

4

Test

We run real order scenarios — partial refunds, coupons, failed payments, retries.

5

Support

We monitor after go-live, with alerting, logging, and a named contact.

Frequently Asked Questions

Either a WooCommerce webhook or a server-side hook fires on the order event, and the data is posted as a QuickBooks invoice or sales receipt over the QBO REST API — or through the Web Connector for Desktop.

It depends on volume. Per-order posting gives customer-level detail; a daily summary keeps the company file lean for high-volume stores. We usually recommend summaries above a few hundred orders a day.

Yes. Subscriptions, bookings, multi-vendor, and tax plugins all reshape the order data, so we audit which extensions are active and map against your real payloads rather than a generic order structure.

Yes. Stripe, PayPal, and WooPayments deposit net of fees; we post the deposit with fees split to an expense account so the bank feed clears without manual matching.

Yes, through the QuickBooks Web Connector using QBXML. It runs on a polling schedule rather than syncing instantly, so Desktop flows are closer to batch than real time.

Yes. Plugin-based syncs that silently stop, duplicate orders, or break after a WordPress update are regular rescue work — and we can fix the store side as well as the integration.

Ready to Connect QuickBooks to WooCommerce?

Every order exported by hand and every gateway deposit reconciled in a spreadsheet is time your team shouldn't be spending. A scoped integration removes that work permanently — and you'll know the exact cost before we start.
