AI operations agents

AI agents for scheduling, dispatch and back-office operations.

Operations teams spend their mornings rebuilding the plan: a job left unassigned, a technician double-booked, a van sent across town, a customer who was never told about the delay. Our AI operations agents do that coordination for you. They read jobs, people, skills, locations and parts from your systems, build the day, dispatch the right person and adjust the plan the moment something changes.

We build operations agents inside the tools you already use, including Zuper, Zoho, SAP Business One and NetSuite. You set the rules for what the agent can change on its own and what needs a dispatcher's approval, and every change is recorded.

    Questions

    Answers before you ask.

What is an AI operations agent, and how is it different from scheduling software?

Scheduling software gives your team a board to plan on. An AI operations agent does the planning work on that board: it reads jobs, skills, availability, locations and parts from your systems, assigns and re-assigns work within rules you set, notifies customers and technicians, and flags anything it should not decide alone. Your existing software stays in place.

Which systems can operations agents work with?

We build operations agents on field service and back-office systems such as Zuper, Zoho, SAP Business One, NetSuite and QuickBooks, and connect them to calendars, maps, email and SMS. If you run something else, tell us and we will scope the connection.

Can the agent change the schedule on its own?

Only within the limits you set. For example, you might let it move a job within the same day and window, but require a dispatcher's approval to change the day, the technician on a named account, or anything that adds overtime. Every change is recorded with the reason, so dispatchers can review or undo it.

How does the agent handle last-minute changes?

When a technician is unavailable, a part is late, a job overruns or the weather turns, the agent finds the affected jobs, works out the best re-plan within your rules, updates the schedule and notifies the customers and technicians involved. Anything it cannot solve cleanly goes to a dispatcher with the options laid out.

    Will customers be notified automatically?

If you want them to be. The agent can send booking confirmations, arrival windows, on-the-way messages and delay notices by SMS or email using wording you approve, and it records replies on the job. Complaints and sensitive conversations are passed to your team.

Can operations agents help with back-office work too?

Yes. Agents can check that job notes, photos and sign-off are complete, chase technicians for missing items, raise purchase requests for parts, update timesheets and pass billing details to your accounting system. Approvals above your limits stay with your team.

How much do operations agents cost, and how long do they take to launch?

Cost depends on the number of technicians and jobs, the systems involved, the quality of your job and skills data, and the level of ongoing support. A focused agent for one workflow, such as daily dispatch or delay notifications, can often be piloted in a matter of weeks. After a short discovery call we give you a scoped proposal with a realistic range.

How do we measure whether the agent is working?

We agree the measures before launch, typically unassigned jobs at the start of the day, on-time arrivals, travel time between jobs, time to re-plan after a disruption and hours spent on admin. Your dispatchers review the agent's decisions during the pilot, and we tune the rules from what we see.
